We respect your privacy and are committed to protecting your personal data. This privacy policy informs you about how we handle your personal data when you visit our website and shop with us, as well as your privacy rights.

What Data We Collect & Why We Collect It

Comments and Reviews

When visitors leave comments or reviews on the site, we collect the data shown in the submission form (your name, email address, star rating, and review text), along with the visitor’s IP address and browser user agent string to assist in spam detection.

If you submit a product review or comment, your name or chosen handle, star rating, and review text will be publicly visible. If you have purchased the product from our store, your review may automatically display a “Verified Owner” badge.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment or review, your profile picture is visible to the public in the context of your post.

Contact Forms & Customer Inquiries

If you contact us via a contact form, email, or inquiry form on our website, we collect the information you provide (such as your name, email address, phone number, and message details). We use this information strictly to respond to your inquiry and provide client support.

Checkout & Cart Abandonment

We use CartFlows to manage and optimize our checkout process. During checkout, CartFlows processes customer details (such as products in your cart and shipping/billing information) to facilitate order completion.

If you begin entering your information at checkout but do not complete your purchase, our Cart Abandonment System may capture your email address and cart contents. This allows us to send automated follow-up communications regarding your unfinished order. You can unsubscribe from these reminders at any time using the link provided at the bottom of those emails.

Media

Visitors cannot upload images directly to the website. Any media displayed on the site is uploaded by website administrators and contains no accessible location or personal data.

Cookies & Analytics

Cookie Preferences

We use standard WordPress, WooCommerce, and analytics cookies to ensure proper website functionality, keep track of shopping cart items, and analyze site traffic. When you first visit our website, you may be prompted to manage or accept non-essential tracking cookies.

WooCommerce Cookies

To keep track of cart data and ensure your shopping experience functions properly, temporary cookies store items added to your shopping cart while you browse and track session details. These cookies do not contain personal information and expire automatically when you close your browser or complete checkout.

Analytics & Visitor Tracking

We use Google Analytics to understand how visitors interact with our website. Google Analytics collects information such as your IP address, browser type, device information, pages visited, and time spent on the site. This data helps us improve site performance and user experience.

Google Analytics uses cookies to gather this information. You can opt out of Google Analytics tracking by adjusting your browser’s cookie settings or by using the Google Analytics Opt-out Browser Add-on (https://tools.google.com/dlpage/gaoptout).

Embedded Content from Other Websites

Articles or pages on this site may include embedded content (such as videos, images, social media posts, or maps). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website directly.

These third-party websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content—including tracking your interaction if you have an account and are logged in to that website (for example, YouTube, Vimeo, Google Maps, or Meta). We do not control these third-party tracking technologies.

Legal Basis for Processing Personal Data (GDPR)

If you reside in the European Economic Area (EEA) or UK, our legal grounds for processing your personal information depend on the context:

  • Contractual Necessity: To process and fulfill your orders, manage payments, and provide services.
  • Legitimate Interests: For website security, fraud prevention, cart recovery reminders, and analyzing site usage to improve our store.
  • Consent: For sending marketing newsletters or placing non-essential tracking cookies (which you can withdraw at any time).
  • Legal Compliance: To maintain records required for tax and accounting purposes.

Who We Share Your Data With

We do not sell your personal data. We only share necessary data with trusted third-party service providers to fulfill orders and operate our website effectively:

  • Payment Processors: Transaction and billing details are securely shared with our payment gateways (e.g., Stripe, PayPal) to process payments. We do not store credit card details directly on our servers.
  • Shipping & Fulfillment Providers: Delivery address and contact details are shared with logistics partners to package and deliver your orders.
  • Service Providers: Technical data may be shared with website hosting providers, analytics services (Google Analytics), and security software.
  • Password Resets: If you request a password reset, your IP address will be included in the reset email.

Where Your Data Is Sent

  • Automated Services: Visitor comments and reviews may be checked through an automated spam detection service.
  • Analytics & Marketing: Site usage data is processed via Google Analytics and related optimization tools.
  • Cloud Infrastructure: Data processed by our website is hosted on secure servers provided by our hosting company and content delivery network (CDN) partners.

How Long We Retain Your Data

  • Cart & Abandonment Data: Data collected during checkout sessions is retained temporarily or until you unsubscribe from follow-up communications.
  • Comments and Reviews: If you leave a comment or review, the content and its metadata are retained indefinitely so we can recognize and approve follow-up entries automatically.
  • Order and Transaction Records: When you place an order, we retain your order information (including name, email, billing, and shipping address) for up to 7 years to meet tax, accounting, and legal requirements.
  • User Accounts: For registered customers, we store the personal information provided in your account profile. You can view, edit, or delete your personal information at any time (except your username).

Data Security

We implement appropriate administrative, technical, and physical security measures (including SSL encryption) to protect your personal data against unauthorized access, loss, or alteration.

What Rights You Have Over Your Data

If you have an account on this site, have placed an order, or have left comments/reviews, you have the right to:

  • Access: Request an exported file of the personal data we hold about you, including any data you provided to us.
  • Erasure: Request that we erase any personal data we hold about you. This does not include any data we are legally, administratively, or for security reasons required to retain (such as order tax records).
  • Correction: Request updates or corrections to incomplete or inaccurate personal data.

To exercise any of these rights, please contact us at loesche@oktobrestudio.com.
